We are seeking a highly organized and efficient Operations Assistant to contribute to the smooth operation of our office. The ideal candidate will be responsible for providing administrative support, handling basic financial tasks, and ensuring the office functions seamlessly.
Responsibilities:
1. Administrative Support:
- Responsible for managing and executing a variety of procedures that take place outside the office environment, such as visiting government offices, clients, and banks.
- Answer and direct phone calls, take messages, and manage general inquiries.
- Handling day-to-day office needs.
- Manage office supplies and place orders as needed.
- Organize and maintain documents, records, and reports, ensuring they are up-to-date and easily accessible for team members.
2. Financial Duties:
– Assist in processing invoices, receipts, and other financial documents.
– Reconcile financial records and ensure accuracy.
– Assist in preparing basic financial reports.
– Monitor and manage petty cash transactions.
3. Data Entry:
– Input and update data into relevant databases or spreadsheets.
– Ensure data accuracy and completeness.
4. Office Maintenance:
– Oversee the cleanliness and organization of the office space.
– Coordinate maintenance as necessary.
Qualifications:
- Proven experience as an office assistant or in a relevant administrative role
- Strong skills and attention to detail to manage multiple tasks and deadlines effectively.
- Basic understanding of financial processes.
- Good in MS Office Suite (Word, Excel, Outlook).
- Excellent organizational and multitasking abilities.
- Flexibility and adaptability to handle changing priorities in a dynamic work environment.
- Strong communication and interpersonal skills.
- Attention to detail and problem-solving skills.
- Excellent verbal and written communication skills.
- The candidate must possess a car and a valid driver’s license.
